Job Description

An exciting opportunity exists to join our innovative and professional team of sports experts. CM Ultimate Events is an events sports agency that creates and delivers unique and exclusive events and experiences within the sports industry both locally and globally.

 

We are currently looking to fill the position of Office Coordinator. The Office Coordinator will be responsible for managing the day to day office operations of CM Ultimate Events – ensuring and improving the performance, productivity and efficiency of office operations. The successful candidate will also be responsible for the population of video and social content on social media platforms such as; YouTube, Facebook, Instagram and Snapchat as well as CMUE’s dotcom. Further, the day to day responsibilities will include working closely with the Head of Sales and Sponsorship on marketing and sales initiatives and when require the Head of Events on event delivery.

  • Bright, resourceful, organised with a strong attention to detail
  • Communicates professionally and effectively.
  • Strong writing skills.
  • Experience managing social platforms with a focus on Facebook, LinkedIn, and Twitter
  • A successful track record creating content that encourages engagement for CMUE
  • 3 years of experience in an administrative support role
  • 2 years of experience in marketing, social media and creative services
  • Technical experience working with website, design and video
  • Experience is working with leading design software packages such as: InDesign, Illustrator and Photoshop

Key Responsibilities:

Stakeholder Relationships- Builds and sustains positive relationships with internal and external stakeholders and clients.

Sales and Marketing – Assists the head of Sales and Sponsorship with event sales and marketing campaigns and oversees the production of event marketing and promotional materials. Interfaces with creative agencies on budget, creative, delivery and production.

Social Media, Digital and Website – Oversees CMUE’s social media presence on sites like Facebook and Twitter. Designs and creates engaging content for CMUE dotcom, while also managing and updating content. Tracks, reports and evaluates usage of the website and social media and recommends improvements to increase effectiveness.

CRM – Manages the efficient operations of the CRM system and associated databases including data entry and processing.

Creative/Design – Works with leading design software packages such as: InDesign, Illustrator and Photoshop to create sales collateral as required.

Office Operations – Coordinates duties that ultimately affect the activities of the office. Manages office consumables including office supplies, postage system, kitchen               supplies, printer and copier supplies, stationary, etc

Administration – Provides administrative support to the management team. General word processing, file maintenance, prepare office correspondence including contracts, sales proposals and reports. Deliver day to day administrative duties to the running of the office including appropriately managing incoming phone calls and emails.

Finance – Manages invoicing and office operational costs.

Event Assistance – Assists in the planning of events such as meetings, luncheons and golf days. This will require researching vendor prices, invitation and RSVP management and travel and accommodation bookings.
